Administrative Office Specialist - ALS201104

 

Applied Logistics is soliciting resumes for Administrative Office Specialists.

Responsibilities: Under general supervision, performs responsible, and department specific technical, and administrative support duties of a diverse nature requiring some independent analysis, exercise of judgment in task execution and detailed knowledge of department and/or institutional procedures related to the work performed.

Work may consist of maintaining department data bases, records and files, gathering and interpreting data to construct reports, processing personnel actions and resolving routine personnel action problems and assisting in financial tracking, reporting and learned analyses.

Work may also include interfacing with internal and external constituencies, disseminating information, and coordinating processes. Uses discretion and judgment when planning and organizing work. May direct the work of other clerical employees in a lead capacity. Processes and distributes confidential and sensitive documents. Establishes and maintains complex filing systems. Composes, formats and types routine correspondence, reports and other documents. Operates and maintains a variety of office equipment. May orient and train other clerical staff. May coordinate calendars, schedules, meetings, training and travel arrangements. May answer incoming phone calls. May order office and program supplies. Manages the various administrative processes within the office and ensures that procedures meet office needs and are consistently understood and followed by the staff. Establishes and continually reviews, updates, and develops complex administrative office procedures that affect the orderly and efficient flow of work within the office and with parties and agencies outside the organization.

Reviews and analyzes administrative policies, clarifies complex and confusing guidelines, and makes recommendations to higher level staff for changes to administrative policy. Responds to administrative issues and inquiries and resolves a variety of conflicts regarding administrative policies and processes among organizational issues. Evaluates procedures and determines when changes need to be made and independently effects the changes. Performs a variety of administrative duties in support of assigned Directorate/Division: Receives telephone calls and visitors coming into the office.

Experience composing and preparing a variety of correspondence, reports, records, briefing materials, statistical and narrative material. Experience maintaining office calendars and appointment/meeting schedules. Experience coordinating and arranging various meetings and conference events in the local area. Experience preparing agendas for meetings and conferences. Experience preparing travel orders, making travel and lodging arrangements, and arranging and coordinating schedule of visits. 

Education/Skills Required: High school diploma or equivalent. 24 months of experience. Microsoft Office experience required.
